So this is a contract that was awarded to SNJ excavation and concrete on November 4th 2024 in the amount of one hundred and forty thousand one hundred forty one thousand seven hundred seventy four dollars this change order would add seventeen thousand six hundred and eighty five dollars for additional work to remove a Elliptical corrugated metal pipe that's underneath Indiana University's driveway at this project This has been coordinated with Indiana University and they are going to reimburse the city for this extra work to be Done that would bring the total contract amount to one hundred fifty nine thousand four hundred fifty nine dollars Thank you questions from the board on this item So just just be clear so the change order would be for The city to pay additional money to the excavating company and then The university is reimbursing the city not the contractor. Well currently we're working with the controller's office So what I'll do is most likely send an invoice to Indiana University And get a check from them and then we will incorporate that into the project So we're trying to avoid paying upfront Versus just a reimbursement So I'm in the contract, but the money may not actually come from city funds, correct? I grown I motion passes Next on new business is to approve the Dunn Street permit extension request for the Poplar's development on East 7th Street So we have a kind of a mirror situation here So upon our discussions yesterday got in contact with Wilhelm on this request for the Western sidewalk on North Dunn Street adjacent to the Poplar's development project and They still wanted to request a longer extended period of time for that sidewalk to be closed did emphasize that we would not support that request and So for the time being they wanted to you know Just get something in place so they could get their ducks in a row and you know come back with a different plan so what they came back with was a Requesting extension of this sidewalk closure and metered parking reservation To August 25th the same as the Grant Street side of this year So just Around this one. So this originally yesterday they were asking for an extension all the way into the spring of 2026 Staff wasn't necessarily comfortable with that at this point in time They're gonna mirror the request for Grant Street out until August of 2025 in the meantime We will continue to work with Wilhelm until probably an August 18th ish meeting or so of the board to refine that pedestrian Walk-around That's the main concern right now is where we actually put the pedestrians in that detour, correct? So the concern with the original request was mostly just the duration Yeah, I think the clarification it was May of 26 that they were looking to have that so it's likely there will be another extension request coming it's how long that request will be for and how much we can compact that down to the Smallest amount of time that's actually needed. Is that fair? Yeah, very fair. I Thank you for that extra course work on that between yesterday's work session today and just one additional comment So I did verify that there's a contract in place for snow removal that FA Wilhelm is going to be doing During the winter months. I This is a service agreement with milestone contractors LP we sent an RF cube of a packet of RF requests for qualifications to several local firms for Repair construction repair or construction of 29 existing assets Accessible curb ramps curb sidewalk sections and asphalt patch as needed these new curb ramp locations will be on South Lincoln at Davis Dixie Dodds and first and then East Cottage Grove at North Dunn North Grant North Lincoln and North Washington the total amount the Results that we received from the RFQ packets had milestone contractors submitting a quote a price of one hundred and twenty one thousand eight hundred dollars groomer construction in the amount of one hundred and thirty eight thousand eighteen dollars EMB paving and the amount of one hundred eighty three thousand six hundred dollars and Weddle Brothers without a response we request that you Award the contract to milestone contractors in the amount of one hundred twenty one thousand eight hundred dollars If you could just educate me briefly I was under the impression that service agreements were for Undisclosed work work to happen in the future. Whereas this is some very specific Ramps and that just confused me So I think you're thinking about professional services possibly. Yeah, so professional services are a different classification of services that we can enter into contracts with firms for things maybe like architecture or consulting services I saw one for exterminating services. I Next we'll move to staff reports and other business great Just want to call attention to some specific needs within the Public Works Department, but specifically at our animal care and control facility For members of the public that our animal welfare advocates need a new forever friend or would like to possibly volunteer and foster animals that are in our care at the facility we Currently at capacity We have a dedicated team of staff members that are on call and working 24 7 365 to make sure Animal welfare is something that we do well and we do it extremely well but at this time we are pretty stressed with our intake levels and Overall are the population we're serving the animal population. We're serving at the shelter It's also a good reminder to just remind the community about good pet ownership and stewardship of those animals Making sure that you know what we're what we're encountering is a lot of Individuals that are no longer able to care for their animals for a number of reasons whether it's cost age ability moving etc. But you know when we bring animals into the home that's the forever friend and we mean that and you know there are always extenuating circumstances but just want to highlight that responsible pet ownership is a very important aspect of the overall animal care and control activities of the city.
